As an Event Planning Administrator (known as ‘Events Coordinator’), you’ll be part of the most exciting corporate and public events at The Star Brisbane and a key role in bringing our vision of being Australia’s entertainment destination of choice to life. Reporting to the Events Planning Manager and supporting five Events Planners, you will be responsible for managing client accounts and ensuring payments are received on time. Additionally, you’ll ensure contractors are inducted thoroughly to make sure they’re safe and informed. You will play a key role in   cross-checking client contracts that are handed over from Sales to Event Planning, as well as creating event-specific folders and loading dock connection codes. r Importantly, you will assist the event planning team by providing all administrative support through email and phone, along with building event resumes that provide internal departments with a strong understanding of delegate movements and precinct engagement.  This dynamic and fast-paced role offers a fantastic opportunity to challenge your skills and be part of Brisbane’s hospitality transformation.

Key Responsibilities:

  • Financial account management for all events, including managing deposit schedules, issuing invoices, and compilation of final itemised invoicing post-event through the systems.
  • Work closely with Event Suppliers to ensure all companies are in Rapid and compliant, ensuring The Star WH&S requirements are maintained
  • Support the Event Planning Manager with cross-checking of client files on handover from the Sales team, to support prior communication between the client and the Sales team.
  • Liaise with the Sales Manager and Event Planner to arrange VIP amenities for Conferences/Events and communicate requirements with In-Room Dining
  • Assist Event Planners with the coordination and delivery of conferences and events.
  • Effectively manage all aspects of event planning administration.

 

About You:
You are highly organized, detail-oriented, and thrive in a fast-paced environment. With experience in a corporate setting or as an Administrator supporting a team, you excel at invoice management, internal coordination, and reporting.

You enjoy a hybrid work model, spending 3-4 days per week in the Brisbane CBD office, with the flexibility to work remotely on other days.

What You Bring:

  • Experience in a large, complex organization with extensive use of MS Office, particularly Excel (intermediate level).
  • Exceptional ability to build and maintain strong relationships with internal teams and external clients.
  • Strong verbal and written communication skills with the ability to multitask and manage high workloads.
  • Proven ability to extract reports, manage invoices, and ensure timely payments.
  • Availability to work full-time (40 hours per week), Monday to Friday, 8:30 AM – 5:00 PM.
